How to use this tool

  1. Step 1Enter the details you want to share.
  2. Step 2Check the preview and omit fields you do not need.
  3. Step 3Copy the formatted signature or plain text into your email settings.

Build a professional email footer

Add the details recipients need: your name, role, company, email address, phone number and website. Leave optional fields empty to keep the email signature compact. The preview updates as you type, so you can check the order and readability before copying.

The formatted email signature uses simple inline HTML with a linked email address and website. You can also copy plain text when a client removes formatting or when you want a lighter footer. This page does not add a headshot, company logo or social icons.

Install it in Gmail, Outlook or Apple Mail

Copy the formatted signature, open your email app's signature settings and paste it into a new signature field. In Gmail, look under Settings and See all settings. In Outlook, find Signatures under mail settings or message options. In Apple Mail, open Mail settings and choose Signatures.

The exact menu names vary by app version and device. Send a test message to yourself, then check the result on both desktop and mobile if those matter to your recipients. If a client strips HTML, paste the plain-text version instead.

Keep contact details accurate and readable

A useful email signature helps someone reply or reach you without turning every message into an advertisement. Use the email and website you actively maintain, and omit information you do not want distributed with every message.

Formatted email signatures can look different across Gmail, Outlook and Apple Mail because each client handles pasted HTML differently. The preview here shows the generated content, but it cannot guarantee an identical display in every inbox.
